1. Free Trial & Demo Eligibility
A 14-day free trial is available on the following SaaS products only: SYSCRM, SYSDESK, and Web Chat (paid tiers). No charge during the trial period. If you do not pay before the trial ends, the Account is downgraded or paused — no charge, no refund needed.
Voice and AI-heavy products use a hands-on free demo instead of a self-serve trial:
- ARA (AI Voice + Chat), SYSPABX (Cloud PBX), Voice Broadcast — request a free 7-day demo via /demo. Demo includes 10 AI voice minutes, 50 AI text replies, 3 SMS, and 1 agent seat. After demo expires, you must subscribe to a paid plan to continue. Overage and consumption charges on paid plans are non-refundable.
- SYSMANAGE (IT Managed Services) — free network audit before purchase; setup fees and minimum service period apply per contract.
- SYSSMS — pay-as-you-go SMS credits. Unused credits are non-refundable but never expire on active accounts. See Section 3 for the 14-day cancellation window on annual plans.
2. Monthly Subscriptions
You may cancel at any time from the dashboard. Cancellation takes effect at the end of the current billing cycle — you retain full access until that date. No partial-month refunds for monthly subscriptions, except as noted in Section 4 (Service Failures).
3. Yearly Subscriptions
Yearly subscriptions are billed upfront with a 15% discount. If you cancel within the first 14 days of a new yearly subscription, we will refund the full amount paid (minus any usage overage charges).
Cancellation after 14 days results in service continuing until the end of the paid period — no prorated refund for unused months.
4. Service Failures
If we materially fail to deliver the Services (e.g., extended outage beyond SLA, lost data due to our fault), you may request a service credit or prorated refund. Submit a written claim to [email protected] within 30 days of the incident, including supporting details. We will review and respond within 14 days.
5. Plan Changes (Upgrade / Downgrade)
5.1 Upgrade
Upgrades take effect immediately. The difference is prorated for the remaining billing cycle and charged at the time of upgrade.
5.2 Downgrade
Downgrades take effect at the next billing cycle. No refund for the higher-priced tier paid for the current cycle, but unused budget is converted to credit applied to the next invoice where possible.
6. Overage Charges
Overage charges (call minutes, AI replies, SMS, etc. beyond plan limits) are billed at the next renewal. Overage charges are non-refundable as they reflect actual consumption.
7. Add-ons & One-Time Purchases
One-time purchases (e.g., setup fees, professional services, additional storage, voice broadcast credit packs) are non-refundable once delivered or consumed.
8. Bundle Discounts
Bundle discounts (e.g., 15% / 20% / 30% off) apply to the bundled products as long as you remain on all bundled components. Removing a product from a bundle removes the bundle discount going forward, but does not retroactively bill the difference for past months.
9. White-Label Reseller Fees
Setup fees and minimum monthly commitments under reseller / white-label agreements are governed by the separate Partner Agreement. These are typically non-refundable.
10. Chargebacks & Disputes
Before initiating a chargeback with your bank or payment provider, please contact us at [email protected] — we resolve most disputes within 7 business days. Unjustified chargebacks may result in account suspension and recovery of associated fees.
11. How to Cancel
- Self-service: Go to Dashboard → Settings → Billing → Cancel Subscription. Provide a brief reason (optional).
- Email: [email protected] with your Account ID.
- Cancellation confirmations are sent by email within 1 business day.
12. Data After Cancellation
Your Customer Data is retained for 30 days after cancellation. During this period, you may reactivate your Account or export your data. After 30 days, data is permanently deleted from active systems (see our Privacy Policy for backup retention).
